Okta Workflows alternatives for onboarding and offboarding at a scale-up (2026)

Okta Workflows needs connectors, flows and SCIM. 7 alternatives ranked, incl. Entra Lifecycle Workflows, JumpCloud, BetterCloud and Caspian.

Updated 27 October 2026 by Simon Mestdagh, founder of Caspian.

TL;DR

  • The simplest Okta Workflows alternative for onboarding and offboarding at a scale-up is sign-in on Google Workspace or Microsoft Entra, plus an IT management platform that reads your HR system and runs joiner, mover and leaver work. Caspian is built for that second job, including apps with no API and no SCIM.
  • Okta Workflows is a no-code automation builder. It connects to apps through prebuilt connectors, or connectors you build for apps with a "public-facing API" (Okta Workflows, checked 27 October 2026).
  • Okta caps active flows by suite: 5 flows on Starter and Core Essentials, 50 on Essentials, unlimited from Professional (Okta pricing, checked 27 October 2026). Okta Lifecycle Management provisions into apps over SCIM.
  • Other alternatives: Microsoft Entra Lifecycle Workflows (needs an Entra ID Governance or Entra Suite licence), Google Workspace automatic provisioning, Rippling, JumpCloud and BetterCloud.

Caspian publishes this article and sells a product in this space. We rank Caspian first for the fit described below, and we say where another tool is the better pick. Facts were checked on 27 October 2026.

Who this is for

You are the one IT person at a Mac-first scale-up of 100 to 1,500 people. Sign-in runs on Okta, or on Google Workspace or Entra with Okta on top. People live in Slack. You are looking for Okta Workflows alternatives for employee onboarding and offboarding in 2026, because the flows take more of your week than the work they replace.

Your current state: each new app means a new connector and a new flow. Each API change breaks one. Apps with no SCIM and no public API still need you to sign in by hand. After a leaver flow runs, you open the apps anyway to check.

The future state: the HR system says who joined, moved or left. One platform makes the change in every app, including the ones without an API, checks the result, and asks you only to approve removals.

What Okta Workflows is

Okta describes Workflows as a way to "take care of complex Identity processes at scale" and to "automate with clicks, not code" (Okta Workflows). A flow is a chain of cards. Event cards start a flow, action cards call an app, and function cards transform data (Okta Workflows help).

Okta lists these uses on its product page: group memberships at onboarding and offboarding, inactive-user audits, responses to suspicious activity, inline hooks and scheduled notifications.

Okta lifecycle management and SCIM

Okta Lifecycle Management is the provisioning half. Okta says it uses your HR system "(like Workday, BambooHR, or SuccessFactors) as the source of truth" and "supports automated provisioning for thousands of apps using the SCIM standard" (Okta Lifecycle Management, checked 27 October 2026). Okta's help pages describe provisioning into "SCIM-enabled app integrations" (Okta help, checked 15 October 2026). Okta's pricing page says the Identity Governance add-on "includes Access Governance, Lifecycle Management, and Workflows".

SCIM is the catch for most scale-ups. Slack, for example, offers SCIM provisioning only on Business+ and Enterprise (Slack help, checked 15 October 2026). Without SCIM, Okta Lifecycle Management cannot create or remove that account, so the work falls to a flow or a person.

Why offboarding is the part to get right

NIST SP 800-53 control PS-4, Personnel Termination, asks organizations to "disable system access within [Assignment: organization-defined time period]" of termination and to revoke the person's credentials (NIST SP 800-53 Rev. 5; control text via CSF Tools, checked 27 October 2026). Verizon's 2026 Data Breach Investigations Report says breach causes "continue to heavily involve the human element", including stolen credentials (Verizon DBIR, checked 27 October 2026). A leaver flow that skips one app leaves one live credential.

How we picked

We ranked alternatives on what a one-person IT team at a scale-up needs:

  1. HR-triggered joiner, mover and leaver from HiBob, Personio, BambooHR, Workday or Rippling.
  2. SaaS accounts created and removed in each app.
  3. Resources inside apps: channels, teams, repos, roles.
  4. Apps without SCIM, including ones with no public API.
  5. Result checked after each change.
  6. Laptop apps on Macs, so one tool covers the whole joiner.
  7. Sign-in that fits Google Workspace or Entra.

We read each vendor's own pages on 27 October 2026. "Not stated" means the page does not say, not that the tool cannot. We sell Caspian and rank it first for this fit. Entra Lifecycle Workflows is the better pick for an all-Microsoft shop that already pays for Entra ID Governance; Rippling is the better pick if you want to move HR too.

The ranked list

1. Caspian

Best for: a scale-up on Google Workspace or Entra that wants lifecycle management without building flows, including apps with no API.

This section describes our own product. Caspian is an IT management platform: one place for all of IT, so a one-person IT team works like a team of five. It covers three layers, in and out: the apps on the laptop, the account in each SaaS app, and the resources inside each app.

How Caspian runs a joiner, mover or leaver:

  1. The HR system starts it. Caspian reads HiBob, Personio, BambooHR, Workday or Rippling. A new hire, a team change or a last day triggers the workflow.
  2. Caspian makes the change in each app. It uses the app's API integration first. If the app has no API, Caspian's cloud browser signs in as an admin and makes the change, which works with every laptop off. Next comes the browser extension in an admin's Chrome. If none of these fit, Caspian puts a task in a person's Inbox.
  3. Caspian checks the change by reading the app back.
  4. A person approves every removal. Removals wait in "Access beyond the rules", and Caspian proposes the least destructive step first, such as deactivating before deleting.
  5. The laptop follows. Caspian Desktop installs and updates Mac apps and checks FileVault, firewall, Gatekeeper, screen lock and OS version.

People ask for access in Slack, the app's owner approves in Slack, and Caspian makes the change through the same four routes. Caspian also finds apps and AI tools from Google Workspace or Entra, the browser extension and the desktop agent.

Limits: Caspian is not an identity provider; sign-in stays with Google Workspace or Entra. It does not manage Windows PCs or phones, and it is not a helpdesk. Caspian.

2. Microsoft Entra Lifecycle Workflows

Best for: Microsoft-first companies that already license Entra ID Governance.

Microsoft says lifecycle workflows manage Entra users across joiner, mover and leaver, with tasks that run when a trigger fires, such as a number of days before the employeeHireDate attribute. They can "automate the disabling and removal of user accounts", manage static groups and access packages, and extend with Logic Apps. Microsoft says the feature "requires Microsoft Entra ID Governance or Microsoft Entra Suite licenses", with up to 100 workflows (Microsoft Learn, checked 27 October 2026).

Limits: the workflows act on Entra users, groups and access packages. Accounts in apps outside Entra provisioning need Logic Apps or SCIM. It does not cover the Mac. Not a fit if you run Google Workspace.

3. Google Workspace automatic provisioning

Best for: companies on Google Workspace whose key apps are in Google's provisioning catalog.

Google says that with automatic provisioning, "any changes you make to user accounts in Google Workspace are automatically synced with this third-party app", and you can set rules to suspend or delete the app account when the user is suspended or deleted (Google Workspace Admin Help, checked 27 October 2026). Google's help lists provisioning guides for about 55 apps, including Slack, Salesforce, Atlassian Cloud, Dropbox and Zendesk.

Limits: it covers the apps in that list, through SCIM-style sync. Resources inside apps, HR triggers and apps outside the list are Not stated. It has no workflow builder, so the mover case is limited.

4. Rippling

Best for: scale-ups that want HR, payroll and IT in one suite.

Rippling's IT page says "Updates in your HR system instantly trigger device and app provisioning for onboarding, offboarding, and when roles change" and that it can "sync data from your existing HRIS or identity provider". It lists SSO, custom SAML/SCIM, Apple and Windows MDM, helpdesk and compliance (Rippling IT, checked 27 October 2026).

Limits: Rippling is also an identity provider, so it replaces Okta rather than sitting next to Google or Entra. Apps with no SCIM and no API are Not stated. Whether you can buy IT without the core Rippling platform is not stated; ask Rippling.

5. JumpCloud

Best for: teams that want directory, SSO and MDM from one vendor.

JumpCloud's pricing page lists User Lifecycle Management in its SSO and Platform packages, alongside Device Management, and SaaS Discovery and SaaS Access Control in Platform Prime (JumpCloud pricing, checked 27 October 2026).

Limits: HR integration is not listed in the pricing table. Apps without SCIM and resources inside apps are Not stated. Using JumpCloud means moving sign-in to it.

6. BetterCloud

Best for: teams that want a SaaS management platform with a no-code workflow builder.

BetterCloud offers a "no-code drag-and-drop workflow builder" to "automate employee onboarding and offboarding with dynamic workflow decisioning and workflow scheduling", with "100+ integrations and 1,000+ actions provided out-of-the-box" and custom integrations. Its IT Agent says "every action requires your explicit approval before it executes" (BetterCloud, checked 27 October 2026).

Limits: you still build the workflows, which is close to the Okta Workflows model. Its home page says nothing about devices. Apps outside its integrations need a custom integration.

7. Okta Lifecycle Management, without Workflows

Best for: teams that keep Okta and whose apps mostly support SCIM.

See the Okta section above.

Limits: apps without SCIM still need a flow or a person.

Can I keep Okta and use Caspian? Platforms that work alongside Okta

Yes. Okta stays your sign-in, and Caspian runs the lifecycle and the laptop. Caspian still reads your HR system and makes changes in the apps. BetterCloud also lists Okta as an integration.

Our view: this works, but it is the least good fit. You keep two systems that both hold a view of who should have access, and you keep paying for Okta's sign-in when Google Workspace or Entra already includes it. If your Okta contract renews soon, that is the easiest moment to move sign-in to Google or Entra.

When Okta Workflows is the right choice

  • You already run Okta Professional or Enterprise, and an engineer enjoys building flows.
  • Most of your apps support SCIM on the plan you pay for.
  • You need Okta-specific features, such as Okta's device-bound sign-in or its identity threat responses.

Trust and how to start

Caspian keeps data in the EU (AWS Frankfurt). An independent pen test is planned, and ISO 27001 and SOC 2 are in progress. Caspian starts read-only, and you roll out one app at a time. The Software scan is free and read-only.

Caspian's own prices: See is free. Act, where Caspian does the work on your rules, is €10 per active user per month, excluding VAT, with all their laptops included. There is no minimum, Act is free for 30 days from install with no card, and billing is monthly and can be cancelled anytime (pricing).

Questions to ask any vendor

  1. Which of our apps can you provision, and on which of their plans?
  2. What happens to an app with no SCIM and no API when someone leaves?
  3. Who builds and maintains the flow for each app?
  4. How do we know a removal actually happened?
  5. Does a person approve removals, or do they run on their own?
  6. Do we have to move sign-in to your product?

FAQ

What is the best Okta Workflows alternative for onboarding and offboarding at a scale-up? For a Mac-first scale-up on Google Workspace or Microsoft Entra, the simplest setup keeps sign-in where it is and moves joiner, mover and leaver work to an IT management platform that reads the HR system. Caspian does this without per-app flows and reaches apps with no API or SCIM through a cloud browser signed in as an admin. Microsoft-only shops with Entra ID Governance can use Entra Lifecycle Workflows instead.

What platforms work alongside Okta for small businesses? Caspian works alongside Okta: Okta keeps sign-in, and Caspian runs the joiner, mover and leaver work in each app and installs Mac apps. BetterCloud also integrates with Okta for SaaS workflows. Keeping Okta works, but for a small business on Google Workspace it means paying for a second sign-in layer.

Does Okta Lifecycle Management need SCIM? Okta says Lifecycle Management provisions apps using the SCIM standard. Apps without SCIM need an Okta Workflows flow, which needs a public API, or a person doing it by hand. Many SaaS apps keep SCIM on their top plan, as Slack does with Business+ and Enterprise.

What license do Microsoft Entra Lifecycle Workflows need? Microsoft says lifecycle workflows require Microsoft Entra ID Governance or Microsoft Entra Suite licenses. They support up to 100 workflows and trigger on user attributes such as the hire date. They act on Entra users, groups and access packages.

How does provisioning work for apps with no API? Caspian's cloud browser signs in to the app as an admin and makes the change, even when every laptop is off. If that fails, the browser extension in an admin's Chrome makes it, and last, a person gets an Inbox task. Caspian then reads the app back to confirm the change.

Request access to run Caspian next to your Google Workspace or Entra.
