What do IT tools cost a 100-person company?
A 100-person company on Macs pays roughly $4,400 to $5,250 per month (about $53,000 to $63,000 a year) at list prices for its core IT tools: email and sign-in, device management, account provisioning, a password manager and endpoint protection.
| Stack (100 people, 100 Macs) | Per person per month | Per month | Per year |
|---|---|---|---|
| A. Google-native lean | $47.48 | $4,748 | $56,976 |
| B. Okta + Jamf classic | $52.49 | $5,249 | $62,988 |
| C. All-in-one (JumpCloud) | $43.99 | $4,399 | $52,788 |
| Caspian next to Google Workspace | $42.47 (about €36.95) | $4,247 | $50,969 |
All prices are public list prices in USD, excl. VAT, checked 4 November 2026. Negotiated prices are often lower. Euro figures use 1 USD = €0.87.
Caspian publishes this article and sells a product in this space. We name the stacks where another tool fits.
Methodology
- We took each vendor's own pricing page on 4 November 2026. Where a vendor does not publish a price, we say so and leave it out of the totals. Third-party reported numbers are marked.
- Every stack covers the same five jobs: email and sign-in, Mac management, joiner and leaver provisioning, a password manager, endpoint protection (EDR or next-gen antivirus).
- Annual-commitment prices are used where the vendor offers them, since that is what most 100-person companies sign.
- We left out one-off costs such as setup, migration, premium support and the admin time each tool needs. Those can outweigh the licence line.
Assumptions
- 100 active employees, 100 Macs, no phones under management.
- Google Workspace is the email suite in every stack.
- No contractors, shared mailboxes or service accounts counted.
- 1 USD = €0.87 (the rate in Caspian's own price comparison, dated 13 October 2026).

The three stacks
A. Google-native lean ($47.48 per person). Google Workspace Business Plus ($22, which adds Vault and advanced endpoint management), Apple Business MDM (free), AccessOwl Growth plus provisioning ($8.50), 1Password Business ($8.99), CrowdStrike Falcon Go ($7.99). Pick it if you want no separate IdP and accept that Apple Business does not run scripts or patch third-party apps.
B. Okta + Jamf classic ($52.49 per person). Google Workspace Business Standard ($14), Okta Essentials for lifecycle management ($17), Jamf for Mac ($12.50, which bundles Jamf Protect, so no separate EDR), 1Password Business ($8.99). Pick it if you have a Mac admin who scripts and compliance already built around Okta.
C. All-in-one ($43.99 per person). Google Workspace Business Standard ($14), JumpCloud device management plus SSO, MFA and password manager ($22 à la carte), CrowdStrike Falcon Go ($7.99). Pick it if you want one console for sign-in and devices. Rippling and Primo fit here too, but they do not publish a full price, so they are not in the total.
Caspian next to Google Workspace ($42.47, about €36.95 per person). Google Workspace Business Standard ($14), Caspian Act (€10, about $11.49, with Apple Business or your current MDM underneath), 1Password Business ($8.99), CrowdStrike Falcon Go ($7.99). Caspian is not an identity provider and not an EDR: Google stays your sign-in and you keep an EDR. Caspian does the joiners, leavers, access requests and laptop setup.
What is the SCIM tax?
Many SaaS apps only offer SSO or SCIM provisioning on a higher plan. That uplift lands on top of the IT stack. Examples from sso.tax (third-party list, dates per row):
| App | Base plan | Plan with SSO | Uplift | Listed |
|---|---|---|---|---|
| Atlassian Jira Cloud | $7.75 | $11.75 | 51% | 2023-09-22 |
| Asana | $25 | $60 | 140% | 2020-12-09 |
| Airtable | $10 | $60 | 500% | 2019-10-19 |
| Box | $5 | $15 | 200% | 2018-10-17 |
| Bitwarden | $4 | $6 | 50% | 2024-08-28 |
These rows are old and vendor plans change; check each app's current page. Tools that reach apps without SCIM (AccessOwl says it needs no SCIM or SAML upgrade; Caspian uses the API or an approved browser script) let you stay on the lower plan.
Is Caspian really less than half of Okta and Jamf?
At list prices, yes:
- Replacing both: Okta Essentials $17 + Jamf for Mac $12.50 = $29.50, about €25.70 per person per month. Caspian is €10, which is 39% of that.
- Keeping Okta for sign-in: the step up from Okta Starter to Essentials ($11) + Jamf ($12.50) = $23.50, about €20.45. Caspian at €10 is 49%, just under half.
Jamf for Mac includes Jamf Protect. Caspian does not include an EDR, so add one (Falcon Go is $7.99) for a like-for-like stack.

What does Caspian read, and with which rights?
Caspian reads metadata and settings, not content. It reads which apps exist, who has an account, which role that account has, and the state of each laptop. It does not read file contents, email bodies or chat messages. Connections are read-only by default; Caspian asks for write rights only for the steps you switch on, such as removing a leaver's account. Customer data is stored with AWS in the EU (Frankfurt). An external penetration test was carried out by Workstreet in August 2026, and ISO 27001 and SOC 2 are in progress.

FAQ
How much does IT software cost per employee per month? For a 100-person Mac company, about $44 to $52 per person per month at list prices for email, sign-in, device management, provisioning, a password manager and EDR (checked 4 November 2026).
What is the cheapest way to manage 100 Macs? Apple Business device management is free. It handles enrollment, settings and App Store apps, but not scripts or third-party patching. Mosyle is reported at $1 per Mac for Premium.
Do I need Okta if I use Google Workspace? Not for sign-in: Google Workspace is an identity provider. Companies add Okta Essentials ($17) mainly for lifecycle management and workflows. Caspian, AccessOwl and JumpCloud do that work next to Google instead.
Why are Rippling, Primo, Lumos and Iru not in the totals? They do not publish a full list price. Rippling says plans start at $8 per employee plus a base fee; the rest are quote-only.
What does Caspian cost? See is free: every app, AI tool and laptop, and who has access. Act is €10 per active user per month excl. VAT, all their laptops included, monthly, no minimum, 30 days free without a card. Launch pricing is locked for your first year.
