Best onboarding and offboarding automation tools for small IT teams in 2026

Caspian, Rippling, Okta, JumpCloud, Entra, BetterCloud, AccessOwl, Torii and Zluri compared for small IT teams on Macs and Google Workspace or Entra.

Updated 27 October 2026 by Simon Mestdagh, founder of Caspian.

TL;DR

  • The best tools for automating employee onboarding and offboarding in a small IT team are the ones that start from your HR system and reach every app, including apps without SCIM. For a Mac-first company on Google Workspace or Microsoft Entra that already has an HR system, we rank Caspian first. If you want HR and payroll in the same suite, Rippling is the better pick.
  • Okta Lifecycle Management and Microsoft Entra Lifecycle Workflows automate joiner, mover and leaver steps well, but mainly for apps with a provisioning connector. Entra needs an Entra ID Governance or Entra Suite licence (Microsoft Learn).
  • JumpCloud combines Mac management and user lifecycle in one vendor. BetterCloud, Torii, Zluri and AccessOwl focus on the SaaS side and leave laptops to an MDM.
  • Every tool here still leaves one question for you to ask: what happens in an app with no SCIM and no API when someone leaves?

Caspian publishes this article and sells a product in this space. We rank Caspian first for the fit described below and say where another tool fits better. Facts were checked on 27 October 2026 unless a source says otherwise.

What is onboarding and offboarding automation?

Onboarding and offboarding automation is software that turns a change in your HR system into the IT work that follows it. A new hire in HiBob or Personio becomes accounts in Google Workspace, Slack and the other apps the role needs, plus apps on the laptop. A leaver becomes suspended accounts, removed seats and files handed to the manager. The same tools handle movers, the person who changes team and needs different access.

The industry calls this the joiner, mover and leaver process, or employee lifecycle management. In a small IT team it is often one person working from a checklist. The checklist is the competitive alternative every tool on this list has to beat.

Offboarding matters most. NIST SP 800-53 control PS-4, Personnel Termination, asks organisations to disable system access within a set time when someone leaves, revoke their credentials and authenticators, and keep access to the information the person controlled (NIST SP 800-53 Rev. 5). ISO 27001 and SOC 2 auditors test the same thing: show that leavers lost access on time.

How we picked

We wrote this for the one-person IT admin at a company of 100 to 1,500 people that gives its staff Macs, signs in with Google Workspace or Microsoft Entra, and works in Slack. We scored each tool on seven questions:

  1. HR-triggered joiner, mover and leaver. Does a change in the HR system start the work, or does a person?
  2. SaaS accounts. Can it create and remove the account in each app?
  3. Resources inside apps. Can it add a person to the right Slack channels, GitHub teams or Google Groups, and take them out again?
  4. Apps without SCIM. Many vendors sell SCIM only on top plans. Slack offers SCIM on Business+ and Enterprise (Slack help). What does the tool do then?
  5. Laptop apps. Can it install and update the apps on a new hire's Mac?
  6. BYOD Macs. Does it work on a Mac that is not enrolled in an MDM?
  7. Sign-in. Is it also your identity provider, or does it sit next to one?

We sell Caspian and we rank it first for this fit. Where another tool is the better pick for a different company, we say so in its entry.

The best onboarding and offboarding tools for small IT teams in 2026

1. Caspian

Best for: a small IT team on Macs and Google Workspace or Entra that already has an HR system and wants one IT management platform for apps, accounts and access.

Caspian is an IT management platform for companies with small IT teams. Its line is "One place for all of IT, so a one-person IT team works like a team of five." It covers three layers for each person, in and out: the apps on the laptop, the account in each SaaS app, and the resources inside each app, such as teams, repos, channels and roles.

  • HR-triggered workflows. Joiner, mover and leaver workflows start from the HR system. HiBob, Personio, BambooHR, Workday and Rippling are supported.
  • Apps without SCIM or an API. Caspian makes a change through the app's API integration where one exists. Otherwise it uses its cloud browser, signed in as an admin, which works even when your laptop is off. If that is not possible, it uses the browser extension in an admin's Chrome, and as a last step it creates an Inbox task for a person.
  • Checked afterwards. Every change is checked by reading the app back.
  • Removals need a person. Caspian never removes access on its own. A person approves each removal in "Access beyond the rules", and Caspian proposes the least destructive action, such as deactivating before deleting.
  • Laptop apps. Caspian Desktop installs and updates Mac apps, and new hires can ask for apps through the assistant in Self Service. Caspian Desktop also works on Macs that are not enrolled in an MDM, so BYOD Macs are covered.
  • Access requests in Slack. People ask for access in Slack and get an answer there.
  • Discovery. Caspian finds apps and AI tools from Google Workspace or Entra, the browser extension and the desktop agent.

Limits: Caspian is not an identity provider. Sign-in stays with Google Workspace or Microsoft Entra. It covers Macs, not Windows or phones, and it does not do helpdesk ticketing. If you already run Jamf, keep it: Caspian fills the gaps around it, SaaS logins and access, and BYOD Macs.

Caspian keeps data in the EU (AWS Frankfurt), has an independent pen test planned, and has ISO 27001 and SOC 2 in progress. It starts read-only. See is free. Act, where Caspian does the work on your rules, costs EUR 10 per active user per month, excluding VAT, with no minimum, 30 days free from install with no card, monthly billing and cancel anytime (Caspian pricing).

2. Rippling

Best for: a company that wants HR, payroll and IT in one suite.

Rippling's own review of its IT product says it provisions accounts "across 650+ business apps" by role, department and location. When someone leaves, it "immediately revokes access to all apps, locks their devices, disables SSO, and transfers their files to their manager" (Rippling blog). The same article says Rippling IT can run on its own, fed by Rippling's HRIS or by "70+ external HRIS systems like Workday, BambooHR, and ADP". For apps without single sign-on it offers RPass, a password manager with shared logins. Rippling also manages Macs.

Limits: the article is Rippling writing about itself. It does not say whether automated provisioning works for apps without SCIM. Rippling publishes no IT prices, and its pricing page says plans start with "a monthly base fee" (Rippling pricing). Our view: if HR already lives in HiBob or Personio and you only need IT, Rippling asks you to adopt more platform than the job needs.

3. Okta Lifecycle Management

Best for: a company that already uses Okta for sign-in and has a dedicated identity admin.

Okta says Lifecycle Management "automates the entire joiner, mover, leaver process" by treating the HR platform as the "source of truth", and that it "supports automated provisioning for thousands of apps using the SCIM standard" (Okta Lifecycle Management). Okta Workflows adds no-code automation for the steps the connectors miss.

Limits: Lifecycle Management is an add-on on Starter and included from Core Essentials. Access requests need Essentials or higher. All suites are billed annually with a $1,500 annual contract minimum (Okta pricing). Okta is not an MDM, so Macs need a separate tool. Apps without SCIM need a Workflow you build or a person. Our view: Okta is the least good fit for a Google Workspace or Entra company that does not already run it. If you do run it, keeping Okta works, but we would move sign-in to Google or Entra and lifecycle to a tool that also reaches the apps without SCIM.

4. JumpCloud

Best for: a small team that wants Mac management, directory and user lifecycle from one vendor.

JumpCloud lists User Lifecycle Management in its SSO plan and in its Platform plans, and MDM in its Device Management, Device Identity Management and Platform plans (JumpCloud pricing). It manages Apple devices with zero-touch enrolment and app installs (JumpCloud Apple MDM).

Limits: no single self-serve plan includes both lifecycle and MDM; you combine plans or buy add-ons. Access Requests appear only in Platform Prime. The pricing page does not say which plans include HR integrations. For apps without SCIM we found only its REST API.

5. Microsoft Entra Lifecycle Workflows

Best for: a company that signs in with Entra and already pays for Entra ID Governance.

Lifecycle Workflows manage Entra users across joiner, mover and leaver phases. A workflow runs tasks, such as sending an email or disabling and removing accounts, when a trigger fires, for example seven days before the employeeHireDate attribute. Logic Apps extend it for complex steps (Microsoft Learn).

Limits: it requires an Entra ID Governance or Entra Suite licence. It acts on Entra users, groups and access packages; reaching an app outside Entra needs provisioning connectors or a Logic App you build. It does not install apps on Macs.

6. BetterCloud

Best for: a team that wants a large library of prebuilt SaaS workflows and is happy to build them.

BetterCloud offers a no-code workflow builder with "hundreds of workflow actions, triggers, and templates" and a Google Workspace management product (BetterCloud). Its Slack page describes revoking public links and managing users, groups and channels from one dashboard (BetterCloud Slack).

Limits: the homepage does not mention HR-system triggers, and no prices are shown. It does not manage Macs.

7. AccessOwl

Best for: access requests and reviews in Slack, next to an existing identity provider.

AccessOwl handles access requests through a Slack app, routes them to the manager or tool owner, and lets the HR system trigger account setup and removal. It claims "400+ integrations, including the long tail of apps with no APIs or SCIM/SAML support" (AccessOwl).

Limits: no prices on the homepage. It does not manage laptops or install apps on them.

8. Torii and Zluri

Best for: app discovery and SaaS governance first, lifecycle second.

Torii calls itself "the industry's #1 app discovery platform" and lists joiner, mover and leaver automation and access requests "in app or chat" (Torii). Zluri, now part of Infotech, lists identity lifecycle management, access requests and access reviews, and a "Universal Identity Connector" with "No native integration required" (Zluri).

Limits: both lead with discovery and governance. Neither homepage describes Mac app installs, and neither says how a change in an app without an API is made and checked.

Best automated onboarding software for small IT departments

If you are the only IT person, onboarding is where the hours go. The day-one list for a new hire usually has three parts: the Google or Entra account, the accounts and channels in a dozen SaaS apps, and the apps on the Mac. Most tools here cover the first two for apps with SCIM. Fewer cover the Mac, and fewer again cover the apps without SCIM.

Our view on the shortlist:

  • HR in HiBob, Personio, BambooHR or Workday, Macs, Google or Entra sign-in: Caspian.
  • No HR system yet, and you want one: Rippling.
  • Okta already in place with an identity admin: keep Okta Lifecycle Management for now and plan the move.
  • Entra ID Governance already licensed: try Lifecycle Workflows for the Entra side first.

Compare software for managing joiner, mover, and leaver workflows for small teams

Movers are the step most tools handle worst. A person who moves from sales to customer success should gain the new apps and channels and lose the old ones. Okta says that on a role change "old permissions are removed and new permissions are added" (Okta Lifecycle Management). Entra covers movers between boundaries with workflows scoped by attribute (Microsoft Learn). In both, the reach stops where the connectors stop.

Leavers are the step with the most risk. Suspending the Google Workspace account blocks sign-in, but Google says suspended accounts are "still charged" and that people with access to shared documents can keep editing them (Google Workspace help). Accounts with their own password in other apps stay live until someone removes them. The Verizon 2026 Data Breach Investigations Report puts software vulnerabilities ahead of stolen credentials as the top way in, at 31% of breaches (Verizon DBIR). Stolen credentials remain the main alternative route, and an account that outlives its owner is a credential nobody watches.

Questions to ask

  1. Which of our apps can you provision, and on which of their plans?
  2. What happens in an app with no SCIM and no API when someone leaves?
  3. How do you check that a change actually happened in the app?
  4. Can a removal happen without a person approving it?
  5. Do we need an MDM next to you for our Macs, and does it work on BYOD Macs?
  6. Which HR systems trigger your workflows, and does a mover lose old access?

FAQ

What are the best tools for automating employee onboarding and offboarding tasks? The main options in 2026 are Caspian, Rippling, Okta Lifecycle Management, JumpCloud, Microsoft Entra Lifecycle Workflows, BetterCloud, AccessOwl, Torii and Zluri. For a Mac-first company on Google Workspace or Entra with an existing HR system, Caspian covers laptop apps, SaaS accounts and access inside apps in one place. Rippling fits better if you also want HR and payroll in the same suite.

What is the best automated onboarding software for a small IT department? For a one-person IT team, pick a tool that starts from the HR system, reaches every app including those without SCIM, and installs the apps on the new hire's laptop. Caspian does all three for Macs and leaves sign-in with Google Workspace or Microsoft Entra. JumpCloud is an option if you want directory and Mac management from one vendor.

How do onboarding tools handle apps without SCIM? It differs by tool. Okta and Entra rely on connectors and on workflows you build, Rippling offers a password manager, and AccessOwl claims support for apps with no API. Caspian uses the app's API where it exists, otherwise a cloud browser signed in as an admin, a browser extension, or a task for a person, and checks every change afterwards.

Do I need an identity provider like Okta to automate offboarding? No. Google Workspace and Microsoft Entra already handle sign-in for most small companies. Lifecycle tools such as Caspian, AccessOwl, Torii and BetterCloud sit next to them and do the account work in each app.

Should offboarding remove access automatically? Blocking sign-in at the identity provider should happen on time, as NIST SP 800-53 PS-4 asks. Removing or deleting accounts inside apps is safer with a person's approval, because deleting can lose the leaver's files. Caspian asks a person to approve each removal and proposes deactivating before deleting.
